This page answers questions new customers frequently ask about our records storage service. You are always welcome to contact us with any other questions you have.
What can I do with all of the boxes and clutter wasting space in our storage room?
Do I have to use your boxes or can you use ours?
Access Records can use your boxes. In addition, we sell boxes that are made specifically for the storage and transportation of records. The majority of records are stored in 1.2 cubic foot boxes or 2.4 cubic foot boxes. These sizes are designed for maximum utilization of space as well as ease in handling. OSHA recommends the usage of 1.2 cubic foot containers. Clients are welcome to supply their own boxes for storage provided that they are in average condition and are a standardized box. If a box is not standard, we will be happy to convert it for you.
Will you pickup our boxes from a mini-storage facility?
Access Records will be happy to pick up and clean out your mini-storage room. We offer this service for free. Your boxes will be brought back to our facility and barcoded into your inventory.
Should I keep using paper records or go paperless in my office?
You should only image what you feel you may need, not all your records. Examine imaging closely and not get caught up in all the hype. We have calculated that it takes 14 years of storage to equal the cost of digital imaging those records today. We can supply you with a cost comparison for you to evaluate. Today digital imaging becomes even a greater challenge for clients because of the rapidly changing technology. Once you’ve made the substantial investment, technology changes quickly, and can make it difficult to retrieve copies of your documents.
Why should I use Access Records over a self-storage center?
Some of the benefits of using a dedicated records center are:
It is always cheaper to use a dedicated center
You don’t have to worry about what is stored next door to you.
You don’t have to work in the heat or cold to retrieve your records.
Reduced risk of employees moving heavy boxes.
Security and fire protection.
See our page that details all of the benefits of using a dedicated records center.
I am not happy with my current storage facility, but they say they will charge me a large termination fee and exit charges. What can I do? Can you help?
Access Records has helped many of our customers transition to our company and all have seen a substantial cost savings. We have been able to help customers evaluate their options when faced with this problem. Give us a call!
How can I get a file out of storage?
Simply fax, email or call us with your request and we’ll retrieve your file. We can then deliver it to your office or you may pick it up at our warehouse.
If I need a single file do I have to request the whole box?
We will deliver just the item(s) that you need. It’s not necessary to request the whole box if you only need a file or two.
Can you fax a file to my office from my records?
Yes. We have many clients who need just a page or two faxed to them. We can even scan and email them if you’d prefer.
May I come to your facility to look through my files, instead of having the boxes delivered to me?
Can anyone from my company request files or boxes?
For security reasons we require all of our customers to provide a list of authorized persons that are allowed to access the records. Only the persons you have authorized may request records. No one else will be allowed access to your files. Access Records guarantees confidentiality!
